What to expect
We work very closely with your primary care vet practice to understand your pet and their medical history.

Pre visit check list
Each procedure may require a specific plan prior to admission. You will be given instructions prior to appointment outlining details, such as feeding protocols. Your pet may need some diagnostic tests to be conducted before admission.

When we receive a referral request from your vet, one of our team will be in contact with you discuss the process and to arrange an appointment at a time that suits you. Please inform us of any specific requirements or access needs that you have so that we can ensure that we accommodate these.

Keele Veterinary Referrals is a division of Garden Vets at Keele. One of our team members will have a chat with you about your Pet’s case and registering with KVR. You will need to register on our Parent group Garden Vets app as a PAYG customer. You can also do this online from home by clicking here.

Our specially trained veterinary nurses and care assistants, along with our specialist led vets shall take care of your pet throughout their stay at our facility.

Please ensure to follow the pre-check list provided by us. Please arrive at least 15 minutes before the scheduled appointment which will help us organise the initial consultation for your pet. If not already registered, our care team will help you register your pet in our system.

We will explain the details of the procedure and give you the opportunity to ask any questions you may have. We will double check your pet’s current clinical history, including details of medications. If your pet needs a special diet, please bring a few days supply with you.

We will go through any paperwork with you, and can send you a copy of any forms that will be signed. Your pet will then be admitted.

If your pet needs to stay over night with us, we have state of the art kennel facilities. Our team will monitor them overnight.

We will let you know when your pet can be discharged and we will send the reports back to your primary care vet.
Post treatment care

Follow up visits
Some procedures may require a follow up visit with us. For others, your regular vet may be able to do the follow on consults. Please check with us/read the guidelines given to you at the time of discharge

Medication
For most cases, post procedure medication will be dispensed by us, but your regular vet will dispense longer term medication. Please check with us/read the guidelines given to you at the time of discharge.
Insurance claims support
Our team can help you make an insurance claim with all the requisite documentation. Typically you would have received an estimated price for the procedure from us. Please note that the price estimations are indicative. There may be a possibility that the complexity of the case turns out to be more than anticipated. While we shall try to ensure avoidance of increase in costs, in case it is unavoidable, we shall discuss these with you before taking action if clinically possible. We may charge you an administrative fee for processing insurance claims.

Direct Insurance claims
Please note that for any direct insurance claim, we have to validate that the procedure is authorised by the insurance company prior to admission. You will need to inform your insurance company that you have been referred and give them your consent for us to discuss the claim with them at least 48 hours before your appointment. You will need to pay a deposit, the amount of which will depend on the type of procedure, fee estimation and any excess or co-payment required by your insurance company. You will be informed of this in advance.
Indirect insurance claims
For indirect insurance claims or uninsured clients, 50% of the estimated fee will need to be paid by you before the procedure and the rest shall be calculated post procedure and paid by you at the time of discharge. Our team will help you process any insurance papers if appropriate.
